Activating Your Badge

How a HeartBadge purchase moves from payment through verification, finalization, and badge availability.

A completed checkout does not always produce an immediately usable badge. HeartBadge moves each order through a series of checks before the membership is finalized and the badge becomes available in the dashboard.

The membership lifecycle

  1. Order created. Checkout records the membership, gift, or group purchase you selected.
  2. Payment submitted. You complete the HandCash request, Mercury invoice, or other payment option shown by checkout.
  3. Payment confirmed. HeartBadge receives confirmation from the payment rail. ACH and other settlement-based methods can remain pending longer than an instant wallet payment.
  4. Protection or settlement window. When applicable, the order remains visible but certain membership benefits, gift units, group seats, rewards, or badge actions stay unavailable until the window ends.
  5. Email verified. HeartBadge sends a six-digit code to the membership email. Enter the code in the same dashboard or setup flow where it was requested.
  6. Required setup completed. The dashboard shows any security or membership steps that still apply to your tier.
  7. Membership finalized. Once payment, timing, verification, and required review steps are complete, the membership can move into its active state.
  8. Badge becomes available. Badge creation and display happen after the applicable membership requirements are satisfied. Your dashboard is the source of truth for the current state.

Lite and Full memberships

Different membership tiers can have different setup requirements. A Lite membership generally needs payment finalization and email verification before badge creation proceeds. A Full membership can also require the security steps shown in the dashboard before the badge is created or released.

Do not rely on an old email or a fixed timing estimate to decide whether the process is complete. Open the current order or membership in your dashboard and follow the next action shown there.

What “pending” means

Pending does not necessarily mean payment failed. HeartBadge may still be waiting for payment confirmation, ACH settlement, the end of a protection window, email verification, required security setup, or another review.

While an order is pending, avoid creating another purchase or paying through a second method unless the original request has clearly failed or support directs you to do so.

If the badge is not available yet

  • Open the order or membership in your dashboard and review its status.
  • Complete any email-verification or security action shown.
  • For ACH, confirm that the Mercury invoice is not still processing.
  • Wait for any displayed protection or settlement window to finish.
  • Refresh the dashboard after completing a required step.

If the dashboard shows an error or no clear next step, contact support@heartbadge.com with the email used for the membership, the approximate purchase time, and the status shown. Never send a verification code, authenticator code, private key, or full bank credentials.

After the badge becomes available

Once the membership is finalized and its badge is available, the dashboard can show your badge card, identifier, program access, and eligible wallet or participation features. Some features can still require additional security, availability, or program-specific conditions.
