How HeartBadge records orders, payment confirmations, invoices, and refunds.

HeartBadge keeps your purchase and membership records together, but the document you receive depends on how you paid. An order receipt, a payment confirmation, and a finalized membership are related milestones—not the same event.

Order record

When checkout creates an order, HeartBadge records the purchase type, amount, payment method, and current status. This confirms that the request exists; it does not necessarily confirm that funds have settled or that the membership is active.

Payment confirmation

Payment confirmation means the selected payment rail has reported or provided evidence of payment. Some orders remain in a protection, settlement, or review state after this point. Your dashboard is the best place to see whether the order is still pending or has finalized.

ACH invoices

Bank payments use a Mercury invoice associated with the order. Keep the invoice email for your records. ACH payments are not instant, so an invoice or payment submission can exist while the order remains pending.

HandCash and Solana records

For HandCash or Solana payments, retain the payment confirmation or transaction reference shown by the wallet. HeartBadge also records the payment against the order after verification. Never send a second payment unless support confirms that the original request failed or expired.

Membership finalization

Finalization is the point when the purchased membership, gift units, or group seats are released for use. A payment record may appear before this happens. Any remaining requirements—such as email verification, security setup, or the end of a protection window—will be shown in your account.

Finding purchase records

Use the billing, orders, gifts, or groups area of your dashboard, depending on the purchase type. Keep the email associated with the order available, especially if you need support to locate a missing record.

Refunds and reversals

Refund eligibility depends on the payment status, fulfillment state, and the terms that applied to the purchase. A request is not automatically approved simply because an order is pending. When a refund is approved, HeartBadge returns funds through the original payment method when that rail supports it; otherwise support will provide the applicable instructions.

Refunded, reversed, or failed payments can prevent finalization or affect memberships, gift units, seats, or benefits linked to the order. Do not promise or transfer an item while its payment is under review.

Contact support@heartbadge.com with the email used at checkout, the purchase type, approximate date, and any invoice or transaction reference. Do not send private keys, passwords, authenticator codes, or full bank credentials.
